How to Provide Material to IHR
By using the following guidelines, you can
simplify the task of turning the electronic versions of your documents into Internet
documents, reduce time delays, and ensure that your Internet documents will be easy to
read for Internet users. If you have any questions, please contact
IHR.
Send your website content to IHR. Here are some
options:
- Email attachment: Send as email
file attachments (e.g., MS Word documents and images). This is
the preferred method.
- Inside an email: Send web page
information, as ascii text, inside of an email.
- CD ROM: Send your electronic files
(text and images) on a CD-ROM (or floppy disk). PC format preferred.
- If you convert your files to another format: If you convert your files from one format (e.g., Word Perfect)
into another format (e.g., ASCII), the translation process may have unintended
consequences on the newly created document. Please verify the following in the new format:
- there are no extraneous control characters
- all words and characters are present
- bullets, footnotes, and quotation marks are present
- there are only one or two spaces at the end of each sentence

Image files:
- Ideal if you can send your logo in tiff format. That way, IHR can work
with it, if need be.
- Photographs should be saved
as .jpeg file format.
- If you cannot send electronic versions of your images,
then IHR can scan the hardcopy pictures into electronic format.
- Additional
information about adding photos to your website.
- Formatting guidelines: Using these formatting guidelines
will make it easier to convert your material into readable Web pages:
- If the document is over a page or so, it should have
identified section
breaks.
- Paragraphs should be short, for easy reading on a computer.
- Send your brochure: In addition to sending electronic files, it will help if you also
send hardcopy material, especially your brochure. IHR will review your
brochure for style, layout, and colors to match on your Web site.
- Latest copy: Ensure that you are providing the latest
version of your material. If files are over a couple of years old, you may
want to review them for accuracy.
- Copyright: Ensure that you own the copyright
(or have rights of use) on any material we place on your Web site.
- Organization name: IHR needs one consistent organization name to be used for
your Web site and for promoting your site to search engines. Variations
on an organization's name dilute your branding and are confusing for Internet users.
- Spell check: Although IHR runs a spell check
on the material, you should also do so.
